Process Mapping Basics

Process mapping is a diagram created to provide a clear outline of the processes in a project. In a process map, the process is shown through a flow chart with different shapes to label the process.

The shapes include:
Ovals for labeling the start and end of the process map.
Squares to provide a label for activity or description.
Diamonds are used for questions or decisions.
Arrows are used to make the process “flow” from one step or decision to the next.
Feedback arrows provide additional information on the process.

To produce a process map, one should design an outline of each step and decide whether to provide a brief but sufficient direction to understand the process or a thorough explanation of every detail. Next, at the start of the process, a start oval where the process map will begin should be created, and a process arrow should flow to the first decision or action. At this point, it is important to remember an important rule concerning the shapes: an activity box cannot have two arrows flowing from it. If an activity would ultimately lead to a decision being made, an arrow should lead from the activity to a decision.

Additionally, feedback arrows can be used throughout the process. For example, in a process map highlighting the steps necessary to bake a cake, a feedback arrow can be used to inform the user in the process of stirring the mix to be sure that all lumps are removed. Loops can be used throughout the process with decisions if one thing must happen before the next step can occur. However, it is important to note that every loop must be connected to another step in the process either ahead or in the past. Once the process is complete, an oval signaling the end of the process

A review to insure that the process map serves its purpose is the final step in the process of creating a process map. It is important to remember that a process map is intended to make the steps of a process clear and understandable to those who would be executing it. If the process map does not serve this purpose, revision may be necessary.
