Price Is Not The Beginning And End When It Comes To Conference Facilities

With more and more conference sites appearing out of the blue on a daily basis, you will need to have conference facilities that would set you apart from the rest! If you’ve ever considered getting a venue and making it readily available for conferences, group meetings or workshops, there a few factors that you should consider:

Will you be able to offer ample parking? It is not important if you have a small venue that will only cater for 10 people or a large villa fully equipped for 500 delegates, parking is extremely important! Do not be of the mindset that everybody will leave at the same time and therefore parking maneuverability is not important. Parking should also be clearly marked so that guests know where they are permitted to park and which areas to avoid.

The second thing you need to look at is the access to the conference venue. It does not matter if you have the most high-priced, cutting edge conference facilities with the best food and most comfortable recliners – if your conference venue is not within easy access from the major highways and byways, people will not be flocking to make use of your facilities.

Thirdly, you need to spend money on high-quality conference apparatus. This can include anything from the microphone to a couple of flip-charts and a screen. Nothing is more aggravating than a meeting or seminar being stopped halfway through because the projection screen is suddenly refusing to work! And if you make use of an inferior microphone (especially applicable in bigger conference rooms) you will end up with irritated delegates who cannot hear what you are saying.

Next on the list is the matter of food and drinks. Will you have an in-house kitchen to do the catering for the delegates? Or would you prefer making use of outside caterers to handle this? Whichever route you choose to follow, you must understand that the tea breaks and lunch breaks are often the highlights of any convention. Delegates need to stretch their legs a bit, refresh their marbles and reenergize for the remainder of the session. And this won’t be achieved by a few treats and a jug of juice!

Choose your staff members with great care. As with most things, the success of a conference is greatly influenced by the workers at the conference venue. From the moment that the parking attendant shows the delegate where to park, to the waiters at lunch and the workers helping with the technical areas of the conference, conference goers expect fast and friendly service! Coach your staff properly and make sure that they know how important proper customer service is!

Cost is not everything, but it does play a role in a customer’s decision to make use of a particular venue. Ensure that your conference packages offer value for money and that customers know exactly what to expect!

With appropriate conference facilities, good service and warm and friendly staff, there is no reason why your conference venue cannot be successful!
