Basic Steps in Writing a Cover Letter

Job hunting is always a tedious task. You may send out your resume to dozens of companies and receive no response at all. Maybe you are really not qualified or fit for the job openings, but there is also the possibility that your resume is lacking something that may catch the attention of your prospective employers. If you are applying for a job, a cover letter may get the employer to get interested in your resume and invite you for a job interview, or better yet, give you that much-needed job.

Writing a cover letter is not hard to handle. Here are simple basic steps you can follow.

First, decide which of the three types of cover letter you need to write. Are you responding to a posted job opening? Then write an application or resume cover letter. Are you inquiring about possible job openings? Then write a prospecting cover letter. If you are requesting information or assistance in finding a job, you will need to write a networking cover letter.

You have to make a specific cover letter for each job application.
Next, research about the company or organization you are sending your letter to. Likewise, find out the particular person you would address your letter to by calling the company or checking the information on-line. Your cover letter should be addressed to the person doing the hiring, not just hastily addressed to the human resources department head.

You can now start writing your cover letter. Generally, a cover letter should be around three paragraphs only with each paragraph containing three or more sentences. Your complete cover letter should only be one page long.

Basically, your cover letter should discuss your purpose for writing, the skills and qualifications you have to offer, and contact information or how you will be following-up your application.

The first paragraph should state the job you are applying for, how you found out about the job opening (through a friend, acquaintance, or advertisement), and your general qualifications. The next paragraph should give some details about your best skills and qualifications that are relevant to the job. Your last paragraph should contain how you can be reached – give your contact number and email address. Also request for an interview at the employer’s convenient time or state that you will call the office to set an appointment. It would be good close your paragraph by saying that your references are available on request.
