10 Reasons for Writing Letters

In this age of computer technology and the Internet, writing letters the conventional way is a practice many have only heard of.  Most people now use the internet, cellular phone, or telephone to communicate with others especially loved ones.  But whatever your age or career, you may need to write a letter one time or another in our life.  Here are ten reasons why you may write a letter:

1.     To welcome a new employee or student.  If you are an employer, you may write a welcome letter to express happiness that a new employee has joined a company.  School owners may give welcome letters to new students.

2.     To say thank you.  You can write a letters of appreciation to show your gratitude to a person, group, or organization who has done something good.

3.     To say sorry.  It is always hard to say sorry.  You may write an apology letter to seek forgiveness and explain reasons for a misdeed or clarify a misunderstanding.

4.     To invite someone to an event or occasion.  People celebrate many events in their lives, from birthdays, weddings, christenings, to special occasions such as Christmas, Valentine’s Day, or Mother’s Day.  If you want to share these special days with others, write an invitation letter specifying the date, time, and place.

5.     To sell a product or service.  If you are an entrepreneur or businessman, one way to advertise your goods and gain customers is to write sales or marketing letters.  These letters contain information about your product and where or how to purchase them.

6.     To conduct business-related communication.  Whether you are a business owner or an employee in administrative positions, you will need to write various kinds of business letters such as business memorandum, letter of credit, or termination letter.

7.     To communicate with friends, relatives, or acquaintances.  This is the most common letter you may write.  You may write a personal letter to share stories, ask how relatives are doing, to court someone, or to get to know someone better.  Love letters and friendly letters are both personal letters.

8.     To inquire.  Whether you need more information about a product or event, or seek clarification for something that happened, you may write a letter of inquiry to concerned individuals or entities.

9.     To apply for a job.  If you are looking for a job, you can never get away from writing an application letter.

10. To air a complaint.  When you receive unsatisfactory products or services, you can write a letter of complaint to managers or those in position.  If you are a disgruntled employee or student, you can also air your concerns through a letter.
